Replenishment schedules

A schedule opens a replenishment window on one route: at a set time it computes what is needed at that moment and leaves a transfer to be approved. It covers the case of a van that goes to the shop every day at 16:00.

The list

Name, Route, Window, Method, Result, Next run, Last run, Active.

The last run’s result states what happened: Nothing to send, Raised 3 transfer(s), Added 12 item(s) to 1042 or Stood down: a draft is still waiting.

The row menu: Edit, Run now, Delete.

When it runs

• From warehouse / To warehouse — the route.
• Run at and Timezone — the time. The timezone decides which 16:00 is meant, and it defaults to the timezone of the browser.
• Days — days of the week. Nothing selected means every day.

Where the quantity comes from

Quantity from offers two methods:

• Min/max thresholds — refills to the target level; requires thresholds.
• What sold — takes the units that left the shelf, minus what is already on its way. It works without thresholds, which suits a shop for which no rules have been defined.

Window (days) sets the period the sales are taken from, so a value of 1 covers the time since midnight today, in the schedule’s timezone.

What it produces

The Result field:

• Draft — a draft that touches no stock until somebody confirms it,
• Confirmed — a transfer confirmed straight away.

Caution

The Confirmed variant earmarks stock in the source warehouse without anybody approving it. It only makes sense on routes where replenishment is routine and nobody questions it.

When the previous draft is still open

If the previous draft is still open resolves the collision:

• Replace the previous draft — supersede it,
• Wait for the open draft — do nothing, wait,
• Add missing products to the draft — add the missing lines to the existing one.

Note

A draft an operator has already edited is never modified, whichever option is chosen. Manual work takes precedence over the automation. The same applies to a draft this schedule did not raise: a draft created manually, or one from another schedule, is not visible to it, so a draft that was not replaced was usually not created by this schedule.

Notifications

A schedule can report its own run: Notify in the administration (the admin bell) and E-mail recipients. The notification can carry the item list as a PDF or CSV, so whoever loads the van gets it without opening the admin.

Schedule, suggestion or obligation

• A schedule — the route runs regularly and replenishment is routine.
• Suggestions — every proposal is reviewed and decided on.
• Transfer obligations — goods travel for a specific order rather than for a stock level.
