Batches and expiry dates

A batch is goods received together: one number, one expiry date, one purchase price. This page applies to shops selling goods with a shelf life and to shops that have to be able to state which customer received a given lot.

Stock by batch

Stockly → Warehouses → Batch Inventory.

Columns: Product, Warehouse, Bin Location, Batch Number, Expiry Date, Stock. The values (none) and (no expiry) mean stock with no location and a batch with no expiry date.

Filtering by Warehouse and Batch Number answers the two most common questions: how much of a given batch is left, and what is expiring in a given building.

Where batches come from

A batch is created when a delivery is received, together with its number, expiry date and purchase price. → Receiving

Counting can work at batch level by choosing By bin + product + batch in a stocktake. → Stocktakes

Issue order

Which batch leaves first is decided by the removal rules, for example the lot with the shortest remaining shelf life. → Lot removal rules

Where a lot went

The row menu holds Where used. It opens the Where lot LOT-2409 was used dialog with two sections:

• Movements — every movement of that lot: when, of what type, how many, from where, to where,
• Orders it went out on — the orders the lot’s goods left the warehouse on.

This is the tool for a recall: from a lot number to the list of customers who received it.

Note

Movements recorded before the module started tracing quantities per lot show their quantity as unknown. This means “not known” and not “zero”; the module states it instead of supplying a figure it does not have.
