Booking in what arrived
When a parcel arrives, open the claim at Stockly → Returns → select return and press Book what arrived.
If the shop has more than one warehouse, a dialog asks Which dock is taking it first. The choice belongs there rather than on the receipt form: everything on that screen is booked into one warehouse, and a delivery split across two buildings is two visits.
Why this is a screen and not a dialog
Section titled “Why this is a screen and not a dialog”This is the only moment anybody has the goods in their hands. It is where the expiry date gets read off the packaging, where what came back is compared with what was claimed, and where a parcel that does not belong to the shop can be turned away. None of that fits in a small dialog.
One card per article
Section titled “One card per article”Each claimed article gets a card showing its picture, its name and four counts: Claimed, Already received, Outstanding and Taking in.
Underneath are the fields for this delivery.
| Field | What it is for |
|---|---|
| Units arriving | how many actually turned up |
| Expiry date | as printed on the goods |
| Batch number | as printed on the goods |
| Where it should end up | optional destination for later put-away |
Units arriving is a free number, not a list capped at what was claimed. More than claimed turns up often enough that refusing to record it would leave stock on a shelf no record accounts for. The difference stays visible because the claimed count keeps its own column.
Expiry date and Batch number travel with the goods from here on. Putting them away later moves this batch rather than creating a new one, so nobody is ever asked to type them again, and stock rotation can see a date that would otherwise never have been written down.
Where it should end up
Section titled “Where it should end up”Optional. A bin named here means put-away takes the goods straight there instead of suggesting one. Left empty, a bin is suggested when the time comes.
Auto-assign slots in the toolbar fills it for every line that has none, in one go. It proposes a bin per article, shows them for confirmation, and writes nothing until the proposal is accepted. Lines that already have a bin are left alone. When every line has a destination the button is inactive and states this.
When the parcel is not what was claimed
Section titled “When the parcel is not what was claimed”Two different situations, two different answers.
Not what was despatched
Section titled “Not what was despatched”Switch Not what was despatched on and describe the difference in What is different: a wrong colour, opened packaging, a different expiry than the one that went out.
The claimed article is still the one booked in. That is deliberate: the refund is calculated from the order line, and swapping the article would break the link the money is based on. The switch marks the receipt so somebody looks at it, rather than rewriting what happened without a record.
Refuse this line
Section titled “Refuse this line”Switch Refuse this line on when the goods are not to be taken into the warehouse at all: an article that is not the shop’s, a broken seal, goods sent back to the customer. Give the number in Units refused and the reason in Why it was refused.
Nothing is booked and no stock movement is recorded: these units never entered the warehouse. A movement of zero would put an arrival in the books for goods the shop never took.
The claim stops waiting for refused units. Without that, one turned-away line would hold the whole document short of Received for good, with nothing able to move it on.
Scanning
Section titled “Scanning”If the barcode scanner is switched on for this screen (Stockly → Settings → Options → Barcode Scanner → Pages with an active scanner, entry Return receipt), scanning an article jumps to its card and puts the cursor in its quantity field. A code that belongs to no article on this claim is reported; silence after a scan is the worst possible answer when the operator’s hands are full.
After booking
Section titled “After booking”The goods are in the warehouse’s returns holding area and are not sellable. What happens next is a decision; see Deciding what happens.
If the count was wrong, it can be taken back: Undo receipt in the row menu of the Lines table on the claim.
