Hand-over

A box with a tracking number has not left yet. This is where it leaves, and where the document proving it is produced.

Two screens, because closing today’s hand-over and retrieving one from three weeks ago are different tasks: Waiting to be handed over and Closed hand-overs.

Stockly → Operations → Shipping → Hand-over.

When a parcel is lost or arrives broken, the carrier asks when it was collected. Without a signed list there is no answer available. A shop that loses a handful of parcels a week bears the cost of that.

Every box with a tracking number that nobody has handed over yet. Columns: Order, Parcel, Tracking code, Carrier, Carrier product, Weight, Packed at.

A box appears here once a carrier has given it a tracking number.

To close one:

  1. Narrow the list to a single carrier.
  2. Check the Shipping day.
  3. Close everything (24) for the whole filtered list, or tick rows and Close hand-over (24).

The list to sign is printed, the boxes are recorded as gone, and they leave the waiting list so they cannot go onto a second sheet. The work runs in the background, so the screen can be left.

Filtering by station is possible too. Only parcels packed at that station go in; boxes from other stations, and any packed before stations were recorded, stay where they are.

Some carriers transfer the shipment data only when the day is closed, so closing also tells them.

  • A box the carrier rejects goes back to the waiting list rather than being recorded as gone: it is still on the trolley, and it has to be dealt with before the driver leaves.
  • If the carrier refuses the whole hand-over, nothing is marked as gone and Try the carrier again repeats it. Whatever was already handed over stays handed over.

Carriers that close the day by themselves need no hand-over from the shop. For those use Fetch the carrier’s manifest for a shipping day, and the document goes straight to the print queue.

Stockly → Operations → Shipping → Hand-over → Closed hand-overs holds every closed hand-over, with its list to re-print. Columns: Hand-over, Shipping day, Parcels, Status, Last error. Statuses are Open, Closing, Closed and Failed.

  • Download the list — the signed sheet again.
  • Which stations packed it — where the boxes came from, for a dispute about one box.
